Zoho provides a built-in migration tool that imports emails directly from Google Workspace using IMAP protocol.
Access Migration Tool
In Zoho Mail Admin Console, navigate to:
Migration → Email Migration → Add Migration
Select Source Platform
Choose Google Workspace (G Suite) as your source platform.
Enable IMAP in Google Workspace
In Google Admin Console:
- Go to Apps → Google Workspace → Gmail → User Settings
- Select your organization unit
- Scroll to IMAP access and select Enable IMAP
- Click Save
Create App Passwords
For accounts with 2-Step Verification, create app-specific passwords:

In Zoho's migration tool, enter the following IMAP details:
IMAP Server: imap.gmail.com
Port: 993
Security: SSL/TLS
Source Email: user@yourdomain.com
Password: App password or account password
Map Users and Start Migration
Map each Google Workspace user to their corresponding Zoho Mail account, then start the migration.
| Google Account | Zoho Account | Status |

| jane@company.com | jane@company.com | Ready |
Step 3: Migrate Calendars and Contacts

Step 4: Migrate Google Drive Files
Google Drive to Zoho WorkDrive

Use Google Takeout to export all Drive files:
- Go to takeout.google.com

- Choose file type and size, then click Create export
- Download the archive when ready (may take hours for large accounts)
Upload to Zoho WorkDrive

- Upload files via web interface or Zoho WorkDrive desktop sync app
- Set appropriate sharing permissions for each folder
Step 5: Update DNS Records
Critical Step — Do This Last
Only update MX records after all data has been migrated and verified. This step switches your email routing from Google to Zoho.
Get Zoho MX Records
In Zoho Mail Admin Console, go to Domains → Your Domain → Email Configuration.
Priority 10: mx.zoho.com
Priority 20: mx2.zoho.com
Priority 50: mx3.zoho.com
Update Your DNS Provider
Log in to your DNS provider and replace Google's MX records with Zoho's MX records.
Verify Email Routing
Send test emails to confirm delivery is routing to Zoho Mail:
- Send from an external email address to your domain
- Confirm the email arrives in Zoho Mail (not Gmail)
- Test sending from Zoho Mail to external addresses

Common Migration Challenges
IMAP Connection Issues
Problem: Migration tool can't connect to Google Workspace.
Solution: Verify IMAP is enabled in Google Admin Console, use app passwords for 2FA accounts, check firewall settings, and ensure 'Less secure app access' is enabled if required.
Slow Migration Speed
Problem: Email migration is taking longer than expected.
Solution: Migrate during off-peak hours, reduce mailbox sizes before starting, migrate in batches of 20–30 users, and check your network bandwidth.
Missing Folder Structure
Problem: Gmail labels don't transfer as folders correctly.
Solution: Manually recreate your important folder structure in Zoho before migration, and use the folder mapping options in the Zoho migration tool.
