Migrating from Google Workspace to Microsoft 365 is one of the most common requests we handle. It is also one of the most complex — not because the technology is difficult, but because there are so many moving parts: Gmail to Outlook, Google Drive to OneDrive, Google Calendar to Outlook Calendar, shared drives to SharePoint, and the dreaded DNS cutover.
This checklist covers 60+ steps across 6 phases, from initial planning through post-migration verification. Each step is actionable, specific, and based on real migration projects we have completed. Download the PDF version or work through the interactive checklist below.

Key Google-to-Microsoft Migration Considerations
Gmail → Outlook Email
Gmail labels become Outlook folders. IMAP sync preserves all emails including Sent and Drafts. Threaded conversations become individual messages. Expect a learning curve for power users.
Google Calendar → Outlook Calendar
Calendar events migrate with attendees and reminders intact. Shared calendars become Outlook shared calendars. Resource booking (rooms/equipment) needs re-configuration in Exchange Admin Center.
Google Drive → OneDrive/SharePoint
Individual Drive files go to OneDrive. Shared Drives become SharePoint document libraries. Google Docs convert to Word, Sheets to Excel, Slides to PowerPoint. Some formatting may shift.
Google Contacts → Outlook Contacts
Contact groups become Outlook contact lists. Photos and notes transfer. Custom fields may need manual mapping. Distribution groups must be recreated in Exchange Online.
Security & Authentication
SPF must include spf.protection.outlook.com. DKIM must be enabled in Microsoft 365. DMARC policy should be reviewed. MFA should be enforced immediately post-migration.
Third-Party Integrations
Slack, Zoom, CRM tools, and helpdesk integrations often point to Google APIs. Each integration needs re-authorization with Microsoft 365 credentials. Plan time for this during Phase 6.
